Event Check-In Widget

The Event Check-in widget helps you verify and check in attendees at your event. Use it on a phone, or tablet at your venue entrance to scan tickets and track attendance.

Adding the Widget

  1. Create a new page or template for your check-in station
  2. Edit with Elementor
  3. Search for Event Check-in in the widget panel
  4. Drag the widget onto your page
  5. Publish the page

Who Can Use Check-in

The check-in widget works for:

  • Event authors: The person who created the event
  • Site administrators: Users with admin access

How to Check In Attendees

Using QR Code Scanner

  1. Open your check-in page on a device with a camera
  2. Click Start Scanner or tap the camera icon
  3. Allow camera access when prompted
  4. Point the camera at the attendee’s ticket QR code
  5. The system automatically reads the code and shows attendee details
  6. Click Check In to confirm

Using Manual Code Entry

If the QR code won’t scan:

  1. Ask the attendee for their ticket code (printed below the QR code)
  2. Type the code into the search field
  3. Click Look Up
  4. Verify the attendee details
  5. Click Check In

What You See After Scanning

When you scan or look up a ticket, you’ll see:

Attendee Information

  • Name: The attendee’s name
  • Email: Contact email
  • Ticket Type: GA, VIP, etc.
  • Time Slot: Which session they’re attending (if applicable)

Check-in Status

  • Not checked in: Ready to check in
  • Already checked in: Shows when and by whom

Action Buttons

  • Check In: Mark this attendee as arrived
  • View Details: See full ticket information
  • Cancel: Go back to scanner

Check-in Statistics

The widget displays real-time attendance stats:

  • Checked In: Number of attendees who have arrived
  • Total Tickets: Total tickets sold for this event/time slot
  • Percentage: Visual progress bar showing attendance rate

Widget Settings

Event Source

Choose which event to check in for:

  • Current Post: Uses the current page’s event (for single event pages)
  • Specific Event: Select a particular event from dropdown
  • All Events by Author: Shows events created by the logged-in user

Display Options

  • Show Statistics: Toggle the attendance counter on/off
  • Auto-submit on Scan: Automatically check in after successful scan
  • Show Attendee Photo: Display profile photos if available

Scanner Options

  • Camera Selection: Choose front or back camera on mobile devices
  • Scan Sound: Play a sound when code is read
  • Vibrate on Scan: Haptic feedback on mobile devices

Tips for Event Day

Before the Event

  1. Test the check-in page on your devices
  2. Make sure staff know the URL or have it bookmarked
  3. Test scanning with a sample ticket
  4. Check that you have strong WiFi or mobile data

During Check-in

  • Keep brightness turned up for better scanning
  • Have manual code entry ready as backup
  • Refresh the page if the scanner freezes
  • Multiple devices can check in simultaneously

For Large Events

  • Set up multiple check-in stations
  • Assign staff to different time slots
  • Consider separate lines for VIP vs. general admission
  • Print a list of attendees as backup

Common Scenarios

Attendee Without Ticket

If someone lost their email or ticket:

  1. Use manual code entry
  2. Search by the attendee’s name or email
  3. Verify their identity with ID
  4. Check them in manually

Already Checked In

If the system shows “already checked in”:

  1. Check when they were marked as arrived
  2. Verify it’s actually a different person trying to enter
  3. Contact the original ticket holder if needed
  4. The system prevents double entry for security

Wrong Time Slot

If someone arrives for a different session:

  1. The system shows their booked time slot
  2. You can allow entry at your discretion
  3. The check-in will still record against their original slot

Troubleshooting

Camera won’t start

  • Refresh the page and try again
  • Check that you’ve allowed camera permissions
  • Try a different browser (Chrome works best)
  • Make sure no other app is using the camera

Codes won’t scan

  • Clean the camera lens
  • Ask attendee to increase screen brightness
  • Make sure the QR code is fully visible
  • Try zooming in or out slightly
  • Use manual code entry as backup

Check-in not saving

  • Check your internet connection
  • Refresh the page and try again
  • Make sure you have permission to check in for this event
  • Contact your site administrator

Page loads slowly

  • Reduce the number of open browser tabs
  • Clear browser cache
  • Use a stronger internet connection
  • Consider using a native app browser if on mobile
